All information is stored on one central file server in our internal network with firewall protection, password protected for administrative level access only.At the workstation level all files being worked on by MTs are being assigned automatically by the system and PC workstation is configured without removable drives and with no printer attached. Also, internet access is only allowed on certain workstations for online Google search, as needed. Allowable websites are selected through content and URL filtering. Any information that is shared with us that could compromise the client’s business operation in the future is held in the strictest confidence by only authorized persons and precluded with a Non-Disclosure Agreement.

At the production site, security guards regularly check upon entry and exit for all items being brought in and out of the production premises. Security camera is installed at strategic location.

Currently, there are 250 transcriptionists, with the flexibility to expand depending on clients’ requirements. All transcriptionists are college graduates, most having completed a degree in a medical field. They receive 3 to 4 months of training, at company expense, before starting work. Our staff become regular employees after completing the requirements of probationary employment.

The work is usually done using Word 2000. CP Medtrans Inc. uses online lexicons, dictionaries, directories, lists and other online references. When the MT completes the dictation, she clicks a function that makes her output available for editing. The database updates the status of the job

With that process, CP Medtrans Inc. guarantees at least 98% accuracy.

CP Medtrans Inc. can immediately provide a capacity of 1,600 lines a day depending on the type of work and the bandwidth of the clients’ connection to an ISP, voice file format, job lists, templates, macros and various name lists needed to do the account.

Ramp-up will be based on a schedule following the plans, requirements and constraints of the client. We will train and assign MTs based on a specific schedule. That schedule will also be incorporated into the ongoing training program for new MTs.

The client is assured that over a reasonable period, there is no practical capacity limit. Minimum committed capacity will be what the client can actually assign on a regular basis.

TAT (Turnaround Time) is 24 hours or less for regularly assigned volume, meeting pre-agreed transmission cut-off schedules. CP Medtrans Solutions Inc.’s programs will automatically pull all files present in the assigned FTP directory.

Price is dependent on the complexity of the job and the quality of dictation. The price is determined through a statistically-representative test job with complete specifications.

To assure the client of our quality, we can do a test job at no cost to the client. The test sample must be representative of the actual job’s statistical profile in terms of difficulty and medical area. From this test and other requirements of the client, we will determine the fairest possible offer.

The company conducts regular conference calls during initial studies of prospective clients’ requirements. Once the jobs are already in production status, the normal channel of communication with clients is through daily emails and real-time messaging system for resolving any operational issues and concerns. The company also hosts client visit onsite for the clients to see for themselves actual operation.
